Tournament Policies

Tournament organizers may cancel a tournament at any time before the first round begins. Once round 1 has started, the organizer can no longer cancel the tournament.

• Before round 1: Organizers can cancel freely. All registered players are notified and paid registrations receive an automatic refund.
• After round 1 begins: Only a platform administrator can cancel the tournament. This is reserved for dispute resolution or extraordinary circumstances.
• Admin cancellation: Administrators may cancel any tournament at any time, regardless of status. Admin cancellations provide a full refund to all players, including the platform service fee.

When a paid tournament is cancelled, refunds are processed automatically for all confirmed registrations.

• Organizer cancellation: Players receive a refund of their entry fee minus the platform service fee. The platform service fee is non-refundable in organizer-initiated cancellations.
• Admin cancellation: Players receive a full refund including the platform service fee. This applies to admin-initiated cancellations and dispute resolutions.
• Processing time: Refunds typically appear on your statement within 5-10 business days, depending on your payment provider.

Free tournaments do not involve any payment processing. Cancellation of a free tournament simply notifies all registered players.

If a tournament organizer does not start the tournament within 1 hour of the scheduled start time, the tournament is automatically cancelled by the platform.

• Players receive an automatic refund minus the platform service fee, following the same refund rules as organizer-initiated cancellations.
• All registered and waitlisted players are notified of the auto-cancellation.
• Repeat no-shows may result in the organizer's account being reviewed by the platform, which could lead to restrictions on creating future tournaments.

Tournament registration opens when the tournament is created and remains open until the organizer starts the first round.

• Registration closes: Once the first round begins, no new registrations are accepted. The tournament transitions from "Registration Open" to "In Progress."
• Player cap: When the maximum number of players is reached, additional registrants are placed on a waitlist.
• Withdrawal: Players may withdraw their registration before the tournament starts. Paid tournament withdrawals are subject to the standard refund policy.

When a tournament is cancelled, the following actions are taken automatically:

• Registered players are notified via in-app notification that the tournament has been cancelled.
• Paid registrations receive an automatic refund. The refund amount depends on who initiated the cancellation (see Refund Policy above).
• Waitlisted players are notified separately that the tournament has been cancelled and their waitlist entry has been removed.
• Refund notifications: Players whose payments are refunded receive a separate notification confirming the refund has been processed.
